Position Description:
The Human Resources Coordinator performs a wide range of crucial tasks in direct support of the HR Services Team’s mission to support Orchid Health’s Pillar 1 health, as well as ensure compliance with all relevant laws, rules, and regulations. This role will act in many sensitive and critical areas such as payroll, employee benefits, and onboarding and will be expected to always maintain the highest degree of confidentiality and professionalism. This role reports directly to the HR Director.

Please note that although this role is primarily remote, a successful applicant must be located in Oregon and able to travel for some in-person trainings, events, etc.

Essential Job Functions: 
  • Process payroll, ensuring accurate and timely submission of wages. This includes garnishment writ and support order processing, deductions, tax implications, and answering payroll questions and providing employee support around compensation. 
  • Oversight of time and attendance recordkeeping and PTO. 
  • Yearly compensation review for exempt/non-exempt roles
  • Preparing and updating compensation worksheets and employment agreements. 
  • Manage the onboarding process for new employees, ensuring a smooth and positive transition into Orchid. This includes a new employee benefits presentation,  I-9 processing and retention, and coordination with other departments for training purposes. 
  • Maintain personnel folders and documentation, assuring compliance with all relevant labor and employment law. Responding to personnel records requests. 
  • Responsible for creating and administering all employee engagement and HR surveys, including processing, organizing, and presenting the resulting data. 
  • OFLA and PLO Equivalent leave oversight and tracking.
  • Student loan repayment program oversight.
  • SAIF/Workers compensation and unemployment claims.
  • DISC assessment oversight.
  • Employee Verification requests 
  • Providing project management assistance to the HR Services Team, including project tracking, meeting scheduling, team updates, and communication. 
  • Providing assistance for various HR projects and programs, including New Employee Mentor Program, Remote Worker Fun Day, Values Champions Recognition program, birthday recognition, and HR Audit. 
  • Various committee and work group involvement. 
Required Qualifications:
  • Excellent verbal and written communication skills.

  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.

  • Thorough knowledge of employment-related laws and regulations.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization's payroll, HRIS, and talent management systems.
  • Knowledge of a broad range of human resource strategies and practices, including compensation, performance management, safety, hiring, and employee relations; able to apply these strategies and practices in compliance with employment regulations
  • Ability to create a culture of diversity, inclusivity, collaboration, and teamwork
  • Experience with analyzing data to guide strategic employment planning
Education and/or Experience Requirements:
  • A minimum of 1 year of direct human resource experience
  • HR certification or related degree/education preferred
  • High school diploma or GED required 
  • Drug screen and background check will be performed 
Compensation:
  • $25.96 - $28.85/hour starting depending on experience and skills

Work Environment
This job operates in a professional medical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Travel
A minimum of 1-2 clinic visits per year, plus in person meetings,  events and  meetings as needed.
